Military registration is moving to Diia: what has changed for employers

Ukrainian enterprises, institutions, and organizations can now verify and update military registration data of employees online through the Diia portal. Electronic exchange replaces part of the paper document flow with territorial centers of recruitment and social support. The innovation became possible after changes to the procedure for organizing and maintaining military registration, approved by the Cabinet of Ministers.

Previously, employers annually submitted lists of employees for verification of military records manually in paper form. Additionally, it was necessary to report changes in employee data separately. Now the relevant information is allowed to be transmitted through the Diia portal.

What data can be transmitted online

Through Diia, employers can report hiring or dismissal of a conscripted employee, changes in surname and place of residence. If the corresponding message is sent in electronic form, there is no need to submit it again on paper.

To make changes, the head of the enterprise or an authorized employee must log in to the Diia portal, specify the necessary details, and sign the message with an electronic signature. Thus, information transfer does not require personally visiting the territorial recruitment and social support centers or sending duplicate paper documents.

Information about hiring an employee or their dismissal, after verification, should be updated in the Unified State Register of Conscripts, persons liable for military service, and reservists "Oberih" within 72 hours.

What will change for enterprises and territorial recruitment and social support centers

The Ministry of Defense expects that digital exchange will reduce the amount of manual work for enterprises and simplify interaction between employers and territorial recruitment centers. Territorial recruitment and social support centers, in turn, should receive more up-to-date information with less paper document flow and lower risk of errors in data transfer.

The changes are another stage of digitalization of military registration. Previously, the Diia portal also introduced the possibility to extend reservations of employees who have no violations of military registration rules in advance.
