Ukrainians with businesses in Poland need to set up e-Doręczenia by October

In Poland, from October 1, 2026, entrepreneurs registered in CEIDG before December 31, 2024, must have an active e-Doręczenia address. It must be set up no later than September 30.

The new requirements apply, in particular, to Ukrainians who run a sole proprietorship in Poland - JDG - and are entered in the CEIDG register. The entrepreneur's citizenship does not matter: the obligation depends on business registration.

e-Doręczenia is a government system for electronic registered correspondence. Through a special mailbox, entrepreneurs can receive official documents from authorities and send them letters online. The system records both sending and receiving of a document.

Entrepreneurs who registered in CEIDG from January 1, 2025, already have their e-Doręczenia address set up as part of the business registration procedure. For companies registered in CEIDG earlier, the final overall deadline is October 1, 2026.

At the same time, some older entrepreneurs were already required to switch to e-Doręczenia earlier. If an entrepreneur registered before the end of 2024 made changes to their CEIDG entry after June 30, 2025, the obligation regarding the electronic address was in force for them from July 1, 2025.

An address can be obtained for free online via Biznes.gov.pl. To this end, you need to submit an electronic application, sign it using Profil Zaufany, a qualified or personal electronic signature, and after receiving a notification, activate the mailbox.

After activation, the ADE address is automatically entered into the state Base of Electronic Addresses - BAE. From then on, Polish institutions using e-Doręczenia will send official correspondence to the entrepreneur exactly there.

A JDG owner can service the electronic mailbox themselves or appoint an administrator who will receive and process letters on their behalf.
